About

AEC Stack is an all-in-one back office for independent construction contractors: company setup, compliance, CRM, quoting, invoicing and finding work. It files incorporation and CRA/WSIB registrations as a tracked 49-step checklist, keeps trade licences, insurance and safety certifications on a renewal clock, and matches building permits, contract awards and public tenders to the contractor's trade and region. Quotes carry line items and markup, progress invoices apply Construction Act holdback and HST the way CRA treats them, and prompt-payment and lien clocks are counted from real dates. Most of it is drivable conversationally through an AI adviser over email or an MCP server, and the platform charges 2.5% of invoices paid through it rather than a subscription.

How teams use it

By audience

Specialty Contracting
  • Trade contractors run incorporation, CRA/HST, WSIB and trade licensing (ESA, TSSA, HCRA, Skilled Trades Ontario) as a tracked 49-step checklist instead of phoning each agency.
  • Ten trades ship pre-seeded — electrical, plumbing, HVAC, framing, roofing, concrete forming, landscaping, renovation, new-home and general contracting — and the workspace configures around the one picked.
  • The permit and contract-award feed is filtered to the trade and city, so a sub sees who is about to need their scope before the job is advertised.
  • Quotes, progress invoices, holdback and HST are driven by replying to the morning email from the truck, with no office staff to hand it to.
General Contracting
  • Small GCs keep leads, quotes, active jobs and change orders on one pipeline board instead of a spreadsheet plus a separate accounting package.
  • Open Ontario public tenders scattered across MERX, Biddingo, Bids&Tenders and buyer portals are aggregated into one searchable list and bid-tracked in a click.
  • Daily logs, documents and change orders sit behind a tokenised client portal at /projects/:token that the owner opens without an account.
Executive Leadership
  • The owner-operator of a sub-20-person shop gets a morning briefing carrying pipeline status, overdue invoices and upcoming compliance dates.
  • Books, trial balance, income statement and balance sheet are queryable in plain language rather than through a bookkeeper on retainer.
  • No subscription: the platform takes 2.5% of invoices paid through it, so cost tracks revenue rather than headcount or seats.
Estimator
  • Quotes are built line by line with markup set explicitly, Ontario HST applied, and holdback split into what is billable now versus what waits.
  • Labour-rate benchmarks including union rates back the pricing, so a solo estimator is not eyeballing the number.
  • Every quote out sits in one list with status and value, and open tracking shows whether the client actually read it.
Accounting & Finance
  • Progress invoices take the 10% Construction Act holdback off the pre-tax value and compute HST the way CRA treats a holdback invoice, including the deferral.
  • Prompt-payment clocks — the 28 days, the 14-day dispute notice, and the 7 days down to subs — are counted from the proper invoice date.
  • A filing calendar covers T5018, HST, T4, payroll, WSIB and EHT dated from the company's own year end.
  • Payment chasing runs itself and every held-back dollar sits on a countdown to the day it can be collected.
Business Development
  • A live feed of building permits just pulled and contract awards just won names the organisations about to need work, 6-36 months ahead of a job ad.
  • Signals are matched to trade, region and capacity with bid/no-bid suggestions rather than delivered as a raw list.
  • Tender subscriptions across multiple buyer portals collapse into one feed, removing the per-portal logins.

By phase

Pre-Construction
  • Find the job from permit, award and tender signals, qualify it, and put it on the pipeline board before it is publicly advertised.
  • Price it as a line-item quote with markup, HST and holdback handled, then send it and track whether it was opened.
  • Bidding prerequisites — WSIB clearance, insurance certificates, trade licences — are tracked through to bid-ready.
Construction
  • Daily logs, drawings, documents and change orders are kept against the job, visible to the client through a no-account portal.
  • Progress invoices are raised from the accepted quote as work completes, with holdback withheld automatically each time.
  • Partial payments are logged against the invoice and the balance is chased without anyone having to remember to do it.
Closeout & Operations
  • Held-back amounts land in one tracker that flags the date the Construction Act allows them to be collected.
  • Final invoicing, change-order reconciliation and lien preservation/perfection windows are dated from the job's own last-supply date.
  • Insurance renewals, licence expiries, safety certifications and annual filings keep running against the company after the job closes.
