About

Field Materials AI is an AI-powered construction procurement platform that automates material and equipment purchasing, purchase-order management, delivery receiving, inventory and prefab tracking, and accounts-payable invoice processing. Large language models read vendor quotes, packing slips and invoices so purchase orders are raised and cost-coded without manual data entry, and three-way PO/receipt/invoice matching runs automatically. Web and mobile apps let the field request and receive materials while the office manages vendors and pricing, and the platform syncs bidirectionally with Procore and the major construction ERPs — Sage 100 Contractor, Sage 300 CRE, Sage Intacct, Viewpoint Vista and Spectrum, CMiC, FOUNDATION, Deltek ComputerEase, Acumatica and QuickBooks.

How teams use it

By audience

Procurement & Purchasing
  • Raise purchase orders straight from AI-scanned vendor quotes instead of rekeying them from email or spreadsheets
  • Track ordered, received and invoiced quantities by cost code in real time
  • Run vendor comms over integrated email and SMS so quote chasing stays in one thread
  • Check material prices against budgets and buyouts to catch overruns before a PO is approved
Accounting & Finance
  • Process AP invoices with AI extraction plus three-way PO/receipt/invoice validation
  • Post approved invoices and receipts into Procore and the connected ERP with full job and cost coding
  • Cut the manual keying that drives AP headcount on high-volume material spend
  • Reconcile committed vs invoiced cost across every active job without pulling separate ERP reports
Construction Management
  • Move material ordering from field request through delivery confirmation in one workflow
  • Use the mobile app to request materials, receive deliveries and photograph delivery slips on site
  • Keep cost codes on every PO accurate because they are imported from Procore or the ERP, not typed
Project Manager
  • Watch open purchase orders and committed material spend against the job budget
  • Get flagged on pricing discrepancies and backorders before they become schedule or cost problems
  • Connect several ERP instances across a multi-division organization inside one platform
Specialty Contracting
  • Built around trade workflows — mechanical, electrical, framing, concrete, civil, masonry and insulation
  • Run prefab operations and shop/warehouse inventory alongside job procurement
  • Surface volume-pricing insight across suppliers to negotiate off actual purchase history
General Contracting
  • Aimed squarely at self-performing GCs buying materials and equipment rentals directly
  • Import projects, vendors and cost codes from Procore so procurement inherits the project setup
  • Push POs and verified invoices back into Procore commitments and the accounting ERP in one pass
  • Give field supervision live visibility of request status without giving them ERP logins

By phase

Construction
  • Primary phase: field material requests, quote capture, PO issue, delivery receiving and invoice reconciliation
  • Purchase orders and invoices sync to Procore and the ERP as work proceeds, keeping job cost current
  • Inventory and prefab tracking cover material staged in the yard or shop before it reaches the site
Pre-Construction
  • Pull project records, cost codes and preferred vendors from Procore or the ERP at job setup
  • Import job budgets by cost code and cost type so early buyout can be checked against them
  • Stand up vendor lists and approval workflows before the crew mobilizes
