Accounting & Finance

• Controllers stop re-keying card spend: transactions are coded to job, phase and cost code by inference and post into Foundation, Spectrum or Vista already coded.
• Supplier invoices are captured by email forwarding, coded line by line and approved in Vergo before they reach AP.
• Sync errors surface in Vergo with the missing phase or cost code named, so month-end close is not held up.

Project Manager

• Project managers approve field spend coded to their own jobs, under approval rules set by amount, project or department.
• Job cost reports reflect card spend while the job is still open, not after month-end.

Foreman / Field Supervisor

• Foremen snap a receipt or text it in at the point of purchase and pick the cost type, with no spreadsheets or emailed receipts.
• Card transactions appear in the mobile app for review as they happen.

Superintendent

• Superintendents' site purchases (materials, fuel, small tools) are coded to the right job the moment they are made.
• Receipts are attached at purchase, so nothing is chased at month-end.

• Crews capture receipts for materials, fuel and site consumables during active work, and Vergo codes them to the job and cost code.
• Coded card spend, reimbursements and supplier invoices post into the construction ERP during the job, keeping job cost current.
