About

Access Coins Evo is a construction-native ERP unifying financials, job costing, procurement, payroll and service management for contractors and homebuilders. Sold by The Access Group across the UK & Ireland, the US and Australia, it adds project costing and CVR, CIS and certified-payroll compliance, plant and equipment, workforce and HR, and mobile field timesheets on a single ledger, with an Azure-based AI and analytics layer branded Access Evo. It was sold as COINS (Construction Industry Solutions) until The Access Group acquired the business in December 2022, then as Access Coins.

How teams use it

By audience

Accounting & Finance
  • Run construction financials on one ledger — AP/AR, GL, multi-company and multi-currency — with job cost posted directly from procurement, payroll and plant transactions.
  • Produce cost value reconciliation (CVR) and WIP reporting against live committed and actual cost rather than a month-old export.
  • Handle US certified payroll and electronic tax filing, or UK CIS deductions and returns, out of the same payroll run that feeds job cost.
Executive Leadership
  • See group margin, cash position and forecast-to-complete across every live job through the Access Evo analytics layer without waiting for a period close.
  • Compare divisions or acquired operating companies on one chart of accounts, since the ERP is multi-company and multi-currency by design.
General Contracting
  • Manage subcontract procurement, valuations, retention and payment certificates against the main contract in the same system that holds the job cost.
  • Meet UK CIS obligations — subcontractor verification, deduction statements and monthly returns — as a by-product of paying subcontractors.
  • Run homebuilder operations (plots, sales and build programmes) alongside contracting work on one ERP.
Specialty Contracting
  • Cost mechanical, electrical and plumbing work by job, phase and cost type, with field timesheets and material purchases coding at the point of entry.
  • Run the service side of the business — maintenance contracts, dispatch and reactive callouts — on the same ledger as project work.
  • Track plant, tools and equipment issued to crews against the job that is consuming them.
Procurement & Purchasing
  • Raise requisitions, purchase orders and subcontract orders against a job budget and watch committed cost update immediately.
  • Match supplier invoices three ways against the order and the goods-received record before they reach the AP run.
  • Feed orders and receipts in from a specialist procurement platform (Kojo) or an eProcurement marketplace rather than re-keying them.
Human Resources
  • Hold employee records, skills, training and absence alongside payroll so a rate or status change flows into job cost without a re-key.
  • Run certified payroll in the US and CIS in the UK from the hours the field has already entered on mobile timesheets.
Project Manager
  • Track cost to complete, variations and forecast margin per job, with the commercial team and the PM working from the same CVR figures.
  • Approve subcontractor applications and variations against the order rather than in a spreadsheet.
  • See committed cost the moment an order is placed, not when the invoice arrives.

By phase

Pre-Construction
  • Set up the job's commercial structure — budget, phases and cost codes — so committed cost tracks from the first subcontract order.
  • Run subcontractor and supplier enquiries and place orders against that budget before work starts on site.
Construction
  • Capture field timesheets, plant hire and material deliveries on mobile and post them to job cost the same day.
  • Value the job each period: applications out, subcontractor applications in, retention held, and CVR against forecast.
  • Process CIS or certified payroll from the same hours that drive job cost, with no separate payroll data entry.
Closeout & Operations
  • Settle final accounts, release retention and close the job's cost ledger with the full transaction history retained.
  • Move the completed asset onto the service side — planned maintenance contracts, reactive jobs and engineer dispatch — without leaving the ERP.
