Microsoft 365
About
Microsoft 365 is Microsoft's subscription suite for documents, email, file storage, meetings and chat, run as one tenant with shared sign-in and security. Project teams use it to co-author files, share them with outside consultants and owners under one set of access rules, and edit Office documents inside document platforms that support Office for the web.
How teams use it
By audience
- Architecture
- Architecture firms run each project as a Teams team on a SharePoint site and invite consultants as guests, so drawings, specs and minutes stay under the firm's own access rules.
- Architects open Word, Excel and PowerPoint files stored in Trimble Connect and edit them in place with Office for the web, without downloading a copy.
- Construction Management
- CM firms share one project site with the owner, designers and trades as guest users, and revoke that access from a single admin console at closeout.
- Construction managers keep OAC minutes, RFI logs and contract files in one tenant, where retention and legal-hold policies cover mail, chat and files together.
- Executive Leadership
- Principals set firm-wide sign-in, device and data-loss rules once, and they apply across email, chat, meetings and every project file share.
- Leadership licenses one suite per seat and can add Copilot, Power BI or Teams Phone to the same tenant as the firm grows.
- General Contracting
- Frontline licences put Teams, SharePoint and OneDrive on field crews' phones, so the jobsite reads the same drawings and notices as the office.
- Superintendents and foremen sign in once with their company account to reach site documents, schedules and crew chat from a phone or tablet.
- IT & Systems Administration
- IT teams manage every user, licence and device for the firm from the Microsoft 365 admin center, with Entra ID as the single sign-in for project platforms.
- IT applies retention labels, eDiscovery and legal hold to project mail, Teams chat and SharePoint files together when a claim or dispute arises.
- IT configures external sharing and guest access per project site, so consultants and subcontractors see only the project they are on.
By phase
- Concept & Planning
- Pursuit teams co-author proposals, feasibility studies and conceptual budgets in one shared file while a project site is set up for the new job.
- Design
- Design teams co-author specs and narratives in real time, and edit Office files held in document platforms such as Trimble Connect in place via Office for the web.
- Pre-Construction
- Preconstruction teams send bid packages and addenda to subcontractors through expiring SharePoint or OneDrive sharing links instead of email attachments.
- Construction
- Field crews on frontline licences use Teams and SharePoint on mobile to read current drawings, post daily updates and join coordination meetings.
- Closeout & Operations
- At handover the project site is archived under a retention policy, and turnover documents are shared with the owner's team as guests.
